Steel warehouse quotations for UAE and African projects can look similar on the first page, yet the numbers often hide very different assumptions. One supplier may include full wall cladding, gutters, anchor bolts, and erection drawings, while another lists only the main frame and roof purlins. A buyer who compares only dollars per square meter may choose the lowest headline price and then pay more through change orders, local fabrication, or schedule delays.

The first comparison point is design basis. Ask every bidder to state the wind speed, snow load if relevant, seismic load, roof live load, crane load, design code, and deflection limits used in the calculation. In the UAE, wind exposure and high temperature can affect panel selection and fastener details. A quotation for a custom steel structure warehouse should show how the design responds to the actual location, not just to a generic catalog drawing.

The second point is geometry. Confirm whether all quotes use the same length, width, eave height, roof slope, column spacing, and clear span. A change from a central column layout to a clear-span layout can increase steel weight, but it may improve forklift movement and racking efficiency. Buyers should calculate usable warehouse volume and operating efficiency, not only covered floor area.

The third point is material scope. Create a comparison table with primary steel, secondary steel, bracing, crane beams, stairs, mezzanine components, roof panels, wall panels, insulation, skylights, doors, windows, louvers, gutters, downpipes, ridge caps, trims, fasteners, sealants, anchor bolts, and drawings. Mark each item as included, excluded, optional, or supplied locally.

The fourth point is coating and corrosion protection. A warehouse near a Gulf port may need better paint or galvanized secondary members compared with a dry inland warehouse. If stored goods are corrosive, humid, or temperature sensitive, ventilation and condensation control become part of the building value. Ask for paint system details, surface preparation standard, primer thickness, and repair method.

The fifth point is logistics. Export packing, container loading, member length, port charges, inland trucking, and unloading equipment affect the real cost. Some suppliers quote EXW or FOB while others quote CIF. A low FOB price may not be low after long inland transport in Africa or after special permits for oversized members.

The sixth point is documentation. At minimum, the buyer should receive design calculations, general arrangement drawings, anchor bolt plans, shop drawings, erection drawings, packing lists, and material certificates. The final comparison point is support after shipment. Ask how missing parts, damaged panels, unclear drawings, and site questions will be handled. Commercial terms should be normalized before final comparison. Convert all offers to the same currency, delivery term, tax responsibility, and validity period. Check whether the quotation includes bank charges, inspection cost, certificate legalization, or destination documents. A clear landed-cost sheet makes management approval easier and prevents a procurement team from defending a price that was never truly comparable.

It is also worth scoring supplier communication. During tender, note who answers technical questions clearly, who revises drawings carefully, and who warns about missing information. The behavior before an order is often a preview of support after shipment. For overseas warehouse projects, reliable communication can be as valuable as a small material saving, especially when the site is far from the port and delays affect tenants or production start dates.

A final useful method is to request one marked-up drawing from each shortlisted bidder. The drawing should identify column grid, bracing bays, door openings, loading docks, insulation zones, and expansion direction. This visual check exposes assumptions that a price sheet cannot show. When the drawing, scope table, and commercial term sheet tell the same story, the buyer has a much stronger basis for approval.

For management reporting, summarize the comparison in three numbers: complete-scope factory price, estimated landed cost, and estimated installed cost. The gap between these numbers tells decision makers where risk is hiding. If inland transport, unloading, or missing accessories are large variables, the procurement team can address them before signing instead of explaining them after the project budget is fixed.
